Two roles, one offsite

Whether you sign off the budget or run the project.

A leadership offsite usually has two owners: the person who needs it to pay off, and the person who has to make it happen. We work for both.

For CEOs, founders and managing directors

An offsite you can defend as a business decision

Remote tools keep work moving. They rarely rebuild trust, ownership and shared direction. A focused offsite can, if it is designed around a clear objective.

  • Goal before venue. We start with what the offsite has to achieve, then choose hotel, format and activities.
  • Success criteria agreed upfront, such as decisions taken, clear owners or the onboarding of new leaders.
  • Budget logic you can explain to your CFO or board, with every service and assumption listed.
  • Your leadership time protected. Nobody on your team becomes a part-time event planner.

You stay in the lead, without carrying every detail

Your CEO asked you to "look into options". We give you a clear process and material you can forward internally.

  • We tell you exactly what we need: five answers are enough to start.
  • Decision-ready proposal with two or three options side by side, ready to forward.
  • No open loops. Rooming lists, dietary needs, transfers and meeting room set-up are on our checklist.
  • One booking confirmation with every service, time and address, for you and every participant.
See the five things we need

Why planning matters here

An offsite without a clear purpose costs far more than its budget.

It costs leadership time, momentum and credibility. Milan is easy to reach, but hard to book at the wrong moment. These four things most often cost a leadership team its focus.

  • No objective, no measurable outcome

When the brief is "a few good days in Italy", the result is nice photos and vague feedback. We define the purpose and the decisions you want to leave with before anything is booked.

  • Fair weeks fill the city

During Salone del Mobile (13 to 18 April 2027) and the fashion weeks, hotel rates rise sharply and good meeting space books out early. We plan your dates around the calendar.

  • Transfers and long lunches eat the day

Malpensa and Bergamo airports are about 50 km from the centre. With the wrong hotel and a two-hour lunch, a three-day offsite turns into two working days.

  • Too many suppliers, no single owner

Venue, hotel, transport and restaurants all need coordinating. When that lands on the assistant or HR team, it becomes a second job and every mistake falls back on them.

What changes in three days

From scattered priorities to shared direction.

The setting, the rhythm and the activity serve one purpose: your leaders go home with decisions, not just impressions.

  1. Day 1 · Align

Priorities discussed in ten different meetings

One shared objective and the questions to answer by Day 3

  2. Day 2 · Work and connect

Leaders who mostly know each other from video calls

A team that has worked, cooked and solved problems together

  3. Day 3 · Decide

A strategy that lives in a slide deck

Decisions and owners written down before the team flies home

After the offsite: a debrief with your contact person, and participant feedback on request, so you can check the result against the goal.

When to go

Milan works all year, each season for a reason.

Spring and autumn are best for combining the city with a day on Lake Como. From November to February, Milan is one of the strongest choices in Italy for a leadership offsite: city programmes do not depend on the weather, and outside fair weeks hotels have more availability than in peak season.

FAQ

Leadership offsites in Milan FAQs

Still unsure? Ask us directly in a discovery call.

How much does a leadership offsite in Milan cost per person?

A three-day leadership offsite in Milan for 10 to 15 people costs around €1,300 to €1,600 per person, excluding flights. That includes two nights in a 4-star design hotel with breakfast and city tax, a daylight meeting room for one and a half days, coffee breaks, two working lunches, a risotto cooking class with dinner, private Linate airport transfers and our planning fee. Larger groups sit at the lower end of the range, because the meeting room and transfers are shared by more people. The price rises with a 5-star hotel, fair-week dates, extra nights, Malpensa or Bergamo transfers, facilitation and on-site support. The guide is based on current supplier prices and the current Milan city tax of €10 per person per night for 4-star hotels. VAT on the planning fee may apply.

How far in advance should we book a leadership offsite in Milan?

Ideally 6 to 12 weeks ahead, and 3 to 6 months ahead for May, June and September or for groups of more than 30 people. Fair weeks such as Salone del Mobile (13 to 18 April 2027) and the fashion weeks fill the city, so plan even earlier for dates close to them. A lead time of 2 weeks is possible, but with limited venue choice, higher prices and a last-minute supplement. The earlier you start, the more hotels with daylight meeting rooms are still available.

Which Milan airport is best for a leadership offsite?

Linate is the best choice for most European groups, because metro line M4 reaches San Babila in the city centre in about 12 minutes. Malpensa, about 50 km north-west, handles most intercontinental flights and is about 43 minutes from Cadorna station by Malpensa Express. Bergamo, about 50 km north-east, has many low-cost routes and a coach of about 60 minutes to Milano Centrale. When participants arrive at different airports, we plan the transfers so the group still starts the kick-off session together.

When is the best time for a leadership offsite in Milan?

Milan works all year, because a leadership offsite is mostly indoors. March to June and September to October are best if you want to add a day on Lake Como. From November to February, Milan is one of the strongest choices in Italy, since city programmes do not depend on the weather and hotels have more availability outside fair weeks. Plan around Salone del Mobile (13 to 18 April 2027) and the fashion weeks, when rates rise sharply, and around Ferragosto on 15 August, when many businesses close.

How do we make sure the offsite delivers measurable results?

Define one objective and the decisions you want to leave with before choosing a venue. In the discovery call we agree success criteria with you, for example three agreed priorities with clear owners, faster onboarding of new leaders or better collaboration across functions. The agenda, the meeting rhythm and the team activity are then chosen to support that goal. After the offsite we hold a debrief with your contact person, and on request we collect participant feedback, so you can show leadership what the investment achieved.

Do you design the agenda and facilitation, or only the logistics?

Both are possible: we support the agenda design and, on request, bring in experienced facilitators, coaches or trainers. Many leadership teams prefer to run the content themselves or with their own facilitator. In that case Team Retreats creates the setting and handles the entire organisation, from meeting room set-up and session timings to transfers and dinners. Unlike a hotel's events team, which can only sell its own property, we compare several venues and suppliers in Milan for you.

Can we start planning without final dates or a budget?

Yes, most discovery calls start with preferred date windows and a rough budget range. Those two answers decide which hotels and meeting rooms in Milan are realistic, so nobody spends time on options that will not work. Together with your goal, group size and decision process, they are all we need for a feasibility assessment, which you receive within 48 hours on working days. You can then refine dates and budget internally with real options on the table. Book a free discovery call.

What material do we get to present the offsite to leadership or procurement?

You get a decision-ready proposal with two or three options side by side, a day-by-day programme and a transparent price breakdown. Each option lists what is included, what stays with your team and which assumptions the price is based on. This format works for a CEO, a CFO and for procurement in larger groups, including offsites for a single unit or leadership team. Once you decide, every detail goes into one booking confirmation that you can share with all participants.
